TERMS AND CONDITIONS OF ENTRY

Night to Remember 2025

These terms and conditions apply to all people participating in Night to Remember 2025, which is organised and operated by Kingston Hospital Charity. By signing up and taking part in Night to Remember 2025, you agree to these terms and conditions.


If you are registering someone else, you must have permission from them to provide their personal details to us. You confirm that the email address and personal details you provide to us are all accurate, correct and up to date. By participating in the event each person you register will be deemed to have accepted these terms and conditions.


Participant Entry

  1. Participants who register before 1 July 2025 are entitled to free entry for all routes.
  2. The Charity may offer discounted rates as part of a promotional offer, which can be withdrawn at any time.
  3. Entry places are personal to participants and cannot be transferred without approval from the Charity.
  4. There are no age restrictions, but all participants must be registered, including children. Participants aged 0 to 17 must be accompanied by a registered participant aged 18 or over. Participants aged 18 or over can register participants aged 0 to 17. If you are not the parent or legal guardian of a participant under 18, you confirm that you have obtained the relevant parental or legal guardian’s permission.
  5. If you are accompanying a participant under 18, you must adhere to the Charity’s child safety instructions, including ensuring they are accompanied at all times at the start and finish lines and along the route, and that they are wearing the provided wristband with a contact name and phone number.
  6. In the event of postponement, tickets will be transferred to the rescheduled date.
  7. Contact 020 8973 5040 at least 48 hours prior to the event to switch distances.


Health and Safety

  1. Participants are responsible for ensuring that they are sufficiently fit and healthy to take part in Night to Remember. Any participant unsure of their physical ability to take part in the event must seek medical advice from their GP prior to the event.
  2. All participants must complete the information on the reverse of their walker number, which must be visible at all times during the event.
  3. We take all reasonable steps to minimise the risk of injury to participants during fundraising events. There is a risk assessment process in place for the event, which aims to minimise or eliminate the risk to everyone taking part. By taking part in this event, all participants acknowledge that there may be conditions or circumstances beyond our control that can lead to unforeseen risks, including the risk of injury, and all participants accept such risks.
  4. Participants are responsible for ensuring that they are wearing appropriate clothing and footwear when participating in the event, taking into account the nature of the event, the weather forecast and the terrain of the route.


Use of Personal Data

  1. Personal data will be handled according to data protection law. Refer to the Kingston Hospital Charity Privacy Policy: https://www.khc.org.uk/privacy-policy/
  2. Your information will be used to contact you about the event and future fundraising based on your contact preferences when you sign up.


Filming and Photography

  1. By taking part or attending the event, all participants confirm they are happy for any photographs, video footage or stills taken during their participation in Night to Remember to be used by Kingston Hospital Charity to publicise the event and/or other fundraising purposes including but not limited to, advertising, publications, marketing material and any other documents that may be made available to the public.
